Are you organised, detail-oriented and confident working with people, processes and numbers? We’re looking for a Sectional Title Portfolio Assistant to join our team in Century City, providing essential administrative and operational support to our Portfolio Manager while helping ensure that our sectional title portfolios are managed efficiently and professionally.
This is a hands-on role suited to someone who enjoys a varied working environment, is comfortable managing multiple priorities and takes pride in delivering accurate, responsive service to owners, tenants and trustees.

Key Responsibilities
Financial Administration
- Capture new owners and properties accurately on the relevant systems.
- Set up levy recoveries and adjustments.
- Load monthly levies on MDA.
- Prepare and issue levy and municipal figures for levy clearances.
- Issue levy clearances and consents.
- Place and fulfil orders on MDA.
- Prepare weekly invoices for payment.
- Attend to debtor and creditor account queries.
- Collate invoices and supporting information for cash-flow requirements.
- Prepare refunds and ensure these are processed accurately.
Administration and Communication
- Compile and distribute communications to owners and tenants.
- Respond to and resolve owner and tenant queries in a professional and timely manner.
- Prepare and circulate notices and minutes for general meetings.
- Maintain clear and effective communication with owners, tenants and other relevant stakeholders.
- Submit insurance claims and follow up to ensure that claims are processed and finalised.
- Attend to access tag enquiries and related administration.
Maintenance and Operations
- Assist the Portfolio Manager with maintenance, cleaning and security-related functions.
- Liaise with contractors and service providers as required.
- Obtain quotations and assist with placing and processing orders.
- Follow up on maintenance-related matters to ensure that work is completed efficiently.
General
- Liaise with owners, tenants and trustees on a range of portfolio-related matters.
- Prepare and manage correspondence with relevant stakeholders.
- Assist the Portfolio Manager with keeping the Preventative Maintenance Planner up to date once work has been completed.
- Provide general administrative and operational support to the Portfolio Manager as required.
